What counts as a booked slot
| Topic | What to confirm | Who owns it |
|---|---|---|
| Confirmed | Date, time, campus, department, in writing | The facility |
| Not confirmed | A wish, a season, or “we will try” | Still you, until they write |
| Travel around it | Hotel and car after the written slot | Coordination quote |
| Clinical content | What the visit is for | You and the clinicians |
The licensed facility confirms the slot. DragonTrail can only coordinate around a time they have already put in writing.
Who actually confirms the appointment?
A useful confirmation names the date, the clock time, the campus, the department, and what you must bring. If any of those are missing, you have a conversation, not an appointment. Ask them to send it by email so the companion and the driver can read the same text.
Appointment coordination is the task of passing your questions and holding the travel around the answer. It is not a promise that a department will see you. A remote consult, if you want one, is a separate clinical act by the provider. We do not run that consult.
Lead times vary by department and by season. We do not publish a standard number of weeks. If the hospital says the next opening is later than your visa or your flights, move the travel, not the clinical fact. Passport names must match the registration. A shortened name on a ticket is a common reason a desk sends you away to fix the file.
The request form asks for destination, timing, and whether a provider slot already exists. Do not attach a full chart to that first note. Send records only the way the facility and our privacy note describe, after a person has replied.
What to write down
- Written slot with campus and department
- What to bring and whether you must fast, in their words
- The phone number that is answered on the day
- A buffer of hours after landing before that slot
- A plan if they move the slot by a day

Questions people ask
- We can carry a request. The hospital decides whether to offer a time. Until their email arrives, the day is not booked.
- Ask for the same details in writing before you buy flights you cannot change.
- No. Say that records exist and ask how they want them sent. Do not put a full chart in the first contact form.
- Only when both have confirmed times and the campus is the same. Leave the gap they ask for.
Talk to the medical desk
The medical desk coordinates logistics after a facility has its own plan. It does not diagnose, quote a treatment, or decide entry.
